Responsible for
Managing and developing the organisation's Administration policies and processes and supervising staff engaged in one or more administrative activities. |

Reports To
Chief Accountant/Financial Controller. |

Supervises
May supervise a small team of administrative staff. |

Main Activities
Recommending and initiating changes for procedures and policies.
Managing the procurement process and purchasing systems within the organisation.
Negotiating with major suppliers to ensure the best possible pricing arrangements are reached for the organisation.
Managing a purchase order system and obtaining management sign-off to pay major invoices.
Maintaining records for vehicle fleet including registration, insurance and repairs.
Monitoring all contracts associated with the supply and subsequent maintenance of equipment purchased on behalf of the organisation.
Coordinating office stationary supplies and regular maintenance of office equipment.
Arranging asset acquisitions, leases, major maintenance and repairs.
Ensuring accurate maintenance and storage of archived records.
Organising mail collection and dispatch.
